Overview

 

Under the supervision of the Executive Director, the employee will assist the Foundation with administrative and board support duties that enable Doyon Foundation to operate efficiently. This position works with the Foundation team to support the language revitalization program, scholarship programs, community relations, and fund development.

Responsibilities

ESSENTIAL FUNCTIONS:

Welcome visitors in person or by telephone and direct calls; Ability to meet and exceed our customers’ expectations with strong interpersonal skills

Superior attention to detail with the ability to multi-task

Schedule, organize, and set up board and staff meetings and community outreach meetings using Microsoft Outlook

Arrange travel for the Board of Directors and team members

Responsible for meeting room logistics and preparation

Prepare board meeting minutes in coordination with, and under the direction of, legal department staff

Responsible for the development of final draft minutes, meeting follow-up action item lists and takes meeting minutes.

Maintain office calendar to include all staff meetings, board meetings, and employee vacation requests

Prepare meeting notices, agendas, and resolutions for subsidiary meetings; compile meeting packets and distribute within timeline; attend meetings as required

Track fund development activities

Compose and prepare routine correspondence and independently prepare recurring reports

Create, design, and modify documents using Microsoft Office software

Coordinate and maintain records for staff office space, phones, and parking

Maintain the Foundation’s electronic and paper filing system

Monitor and order office supplies

Distribute communications to shareholders, students, and other constituents

Assist with processing scholarships, golf tournament operations, and other student events

Sort and distribute incoming mail; prepare and send outgoing mail

Proofread all work for accuracy and neatness

Perform other duties and projects as assigned by supervisor

 

KNOWLEDGE, SKILLS & ABILITIES:

Highly organized and able to work independently.

Knowledgeable of office administration.

Proficient in answering telephones and greeting the public professionally and courteously; to include a variety of students and visitors professionally, even under pressure.

Competent in communicating effectively, orally and in writing, and following instructions.

Ability to make simple computations and tabulations accurately and with reasonable speed.

Maintain confidentiality and discretion.

Knowledgeable or desire to learn about the cultural heritage of Doyon shareholders.

Qualifications

QUALIFICATIONS:

High school graduate or equivalentMinimum of three (3) years of office or administrative experience

High level of interpersonal skills to handle sensitive and confidential situations

Ability to operate all Microsoft Office programs, such as Outlook, Word, Excel, etc.

Ability to accurately type at least 45 wpm

Valid Driver’s license, access to a registered vehicle and must be able to provide proof of state-required insurance on a registered vehicle

Mandatory COVID-19 Vaccination – effective September 1, 2021, all new employees hired to work at Doyon, Limited are required to be fully vaccinated against the COVID-19 virus on the day they begin work. “Fully Vaccinated” is defined as: more than two (2) weeks following receipt of the second dose of a two-dose vaccine, or more than two (2) weeks following receipt of one (1) dose of a single-dose vaccine, including any booster shoots authorized by federal or state health authorities.

 

WORKING ENVIRONMENT: The majority of the work is performed in a professional office setting with a wide variety of people in differing functions, personalities, and abilities.

 

PHYSICAL DEMANDS: An individual will be required to work the majority of hours in a general office environment and will need to be able to respond to a change in work demands quickly.
